Terms of Service
Effective 3 November 2026 · Version 1.0
Please read these terms before using CloseLoop Labs. They're written to be clear, but they are a legal agreement.
1. Who we are and how to contact us
CloseLoop Labs is a trading name of CloseLoopLabs, a sole trader based in the United Kingdom ("we", "us"). You can contact us at hello@closelooplabs.io. By signing in to CloseLoop Labs you agree to these terms. If you use it for a business, you confirm you're allowed to accept them for that business, and "you" includes the business.
2. The service
CloseLoop Labs connects to your Gmail and Google Calendar to sort your inbox into Pressing, Review and Low Priority, summarise what needs you, draft replies in your style, flag emails a teammate may have answered, and send you a morning brief. CloseLoop Labs is in early access: features may be added, changed or withdrawn, and anything labelled beta, preview or "soon" is provided as-is.
3. Accounts, eligibility and authority
- You must be 18 or over and use CloseLoop Labs for business or work purposes.
- You must only connect Google accounts you're entitled to use.
- Keep your Google account secure; we recommend 2-step verification. You're responsible for what happens in your account.
- Tell us straight away at hello@closelooplabs.io if you think someone has accessed your account without permission.
4. Fees and billing
CloseLoop Labs is free during early access. Before we start charging, we'll tell you the price, what's included, how billing, renewals and refunds work, and you'll only pay if you choose to subscribe. We'll give you at least 30 days' notice of any later price change, and you can cancel before it applies. If you delete your account during a paid month, you'll still be billed for that month.
5. Acceptable use
You must not use CloseLoop Labs to:
- break any law, or send spam, harassment or misleading messages;
- access, or try to access, anyone else's account or data;
- probe, overload, disrupt or get around the security of the service;
- copy, resell, or reverse-engineer the service, or use it to build a competing product.
6. Your connected Google account
CloseLoop Labs works through the access you grant in your Google account. Your use of Gmail and Google Calendar stays subject to Google's own terms. We aren't responsible for Google's services, outages or changes, and if Google limits or withdraws our access some features may stop working. You can remove our access at any time in Settings or in your Google account.
7. AI suggestions and your review
CloseLoop Labs uses AI to sort, summarise and draft. AI can get things wrong: it may put an email in the wrong section, miss something important, summarise inaccurately or draft a reply that isn't right.
- Nothing is sent from your account until you approve it. Once you click Approve & send and the undo window passes, the email is yours and you're responsible for it.
- Read every draft before sending, and fill in anything in [square brackets].
- Keep an eye on your inbox too. Don't rely on CloseLoop Labs alone for anything important or time-sensitive.
- Nothing in CloseLoop Labs is legal, financial, tax or other professional advice.
8. Your data
Your emails, calendar, and anything you add to CloseLoop Labs stay yours. You give us permission to process them only as needed to provide the service to you, as set out in our Privacy Policy. Your inbox contains other people's personal data, and you're responsible for having the right to use the service on it, as you would with any email tool.
9. Intellectual property
We own CloseLoop Labs, including its software, design and brand. We give you a personal, non-transferable right to use it while you have an account and follow these terms. Drafts created for you are yours to use freely. If you send us feedback, we may use it to improve the service without owing you anything.
10. Confidentiality
We treat the contents of your inbox and calendar as confidential. We only use them to provide the service, and only disclose them as our Privacy Policy describes or where the law requires.
11. Warranties and disclaimers
We'll provide CloseLoop Labs with reasonable care and skill. Beyond that, and as far as the law allows, the service is provided "as is": we don't promise it will be uninterrupted, error-free or meet every need, or that AI output will be accurate. Morning briefs may occasionally be late or not arrive.
12. Limitation of liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn't allow to be limited.
Otherwise, we aren't liable for indirect or consequential loss, or for loss of profit, revenue, business, goodwill, opportunity or data, including from a missed, mis-sorted or wrongly drafted email or an email you approved. Our total liability to you for all claims is limited to the greater of £100 or the fees you paid us in the 12 months before the claim.
13. Indemnity
If you break these terms or the law while using CloseLoop Labs, or send something through it that infringes someone else's rights, you'll cover our reasonable losses and costs from claims that result.
14. Suspension and termination
- You can stop at any time by disconnecting Google, or delete your account yourself in Settings > Privacy & data.
- We may suspend or close your account straight away for serious or repeated breaches of these terms, or for security reasons. For other breaches, we'll give you 14 days to put things right first.
- We may end the service for everyone with at least 30 days' notice.
- When you delete your account, its data is deleted straight away. If we close it, we delete its data within 30 days. Your emails stay in Gmail.
15. Changes to these terms
We may update these terms as CloseLoop Labs develops. We'll tell you about material changes by email or in the app at least 14 days before they take effect, and may ask you to accept them. If you don't agree, you can stop using CloseLoop Labs before then.
16. Governing law and jurisdiction
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
17. General
- These terms, with our Privacy Policy, are the whole agreement between us about CloseLoop Labs.
- If any part is found unenforceable, the rest still applies.
- You can't transfer your rights under these terms without our agreement. We may transfer ours to a business that takes over CloseLoop Labs, and we'll tell you if we do.
- We aren't responsible for delays or failures caused by events outside our reasonable control.
- No one else has rights under these terms.
- If we don't enforce a term straight away, we can still enforce it later.
